Email templates and scheduling controls determine what type of request is sent to buyers and when the email is delivered after an order is placed. In Feedback Automator, each campaign uses a single template and a defined scheduling configuration to ensure consistent, compliant, and predictable email delivery.

Explanation

Feedback Automator separates what is sent (email template) from when it is sent (scheduling rules). These two elements work together within a campaign to control buyer communication.

Template selection defines the request type and available analytics. Scheduling controls define the delay, time of day, and timezone used for email delivery.


Email Templates

Each Feedback Automator campaign uses exactly one email template.

Template behavior:

  1. A campaign can use only one template

  2. The selected template determines the type of request sent

  3. Template selection impacts which analytics and conversion metrics are populated

  4. Templates can be previewed before selection


Available Template Types

Feedback Automator provides pre-built templates with defined purposes.
  1. Combined Template

    1. Requests both product ratings and seller feedback in a single email

    2. Recommended for general use cases

    3. Maximizes outreach while maintaining one email per order

  2. Product Review Only Template

    1. Requests product ratings without requesting seller feedback

    2. Suitable for new product launches or rating-focused initiatives

  3. Seller Feedback Only Template

    1. Requests seller feedback without requesting product ratings

    2. Suitable for improving seller performance metrics

Notes
Template selection cannot be changed retroactively for emails that are already sent or scheduled.


Requesting a Custom Prebuilt Template

Sellers who need a brand-specific or customized email template can request a new prebuilt template from the KwickMetrics team.

Custom template behavior:

  1. Custom templates are created and managed by the KwickMetrics team

  2. Once created, the template becomes available for campaign selection

  3. Custom templates follow the same rules as pre-built templates

  4. Each campaign can still use only one template

Scheduling and Timing

Scheduling settings control when emails are sent after an order is placed.

Scheduling configuration includes:

  1. Start Date – Date from which the campaign begins evaluating orders

  2. End Date (Optional) – Date when the campaign stops processing new orders

  3. Send Emails After (Days) – Waiting period after the order purchase date

  4. Email Send Time – Time of day emails are delivered

  5. Email Send Timezone – Timezone used for scheduling email delivery

Campaigns without an end date continue running until manually deactivated.


Email Delivery Behavior

Once a campaign is active, email delivery follows these rules:
  1. Orders are evaluated continuously

  2. Eligible orders are queued after the configured waiting period

  3. Emails are scheduled using the selected send time and timezone

  4. Only one email is sent per order across all campaigns

  5. Priority rules determine which campaign sends the email

If multiple campaigns qualify for the same order, only the highest-priority campaign sends an email.


Important Rules and Behavior

  1. Email templates apply at the campaign level, not per order

  2. Scheduling changes apply only to future emails

  3. Emails already sent or scheduled are not affected by template or timing changes

  4. Email delivery always respects marketplace communication limits
