Feedback Automator Overview: Campaigns, Rules, and Execution Logic

Overview

Feedback Automator is a tool within the Ads Management module that enables sellers to automate product rating and seller feedback requests using rule-based campaigns. It continuously evaluates eligible orders and schedules compliant request emails without manual intervention.

The primary goal of Feedback Automator is to help sellers collect ratings and feedback at scale while maintaining control, predictability, and marketplace communication compliance.

Explanation

Feedback Automator operates using campaigns. Each campaign defines a set of rules that determine which orders qualify for an email request and how that request is sent.

Once a campaign is active, the system automatically:

  1. Continuously evaluates orders against campaign rules

  2. Schedules emails after a configured waiting period

  3. Applies campaign priority when multiple campaigns match

  4. Enforces a single email per order across all campaigns

  5. Updates campaign-level metrics automatically

Campaigns can be configured to request:

  1. Product ratings

  2. Seller feedback

  3. Both product ratings and seller feedback in a single email

Template selection determines the type of request sent and which analytics metrics are populated.

Usage

Feedback Automator is most useful when sellers want to:
  1. Automate review and feedback requests without manual follow-up

  2. Ensure consistent outreach to buyers after purchase

  3. Control which buyers are contacted based on order conditions

  4. Prevent duplicate or conflicting emails across campaigns

  5. Measure the impact of outreach on ratings and feedback

It supports both continuous automation and targeted use cases such as new product launches or seller performance improvement initiatives.

Campaign Structure

Each Feedback Automator campaign defines:
  1. Order eligibility rules

  2. The request email template

  3. Email timing, delay, and timezone

  4. Applicable marketplaces

  5. A priority level for resolving conflicts

Campaigns can run for a fixed date range or continue indefinitely until manually deactivated.

Campaign Rules

Campaign rules determine which orders qualify for email requests.

Product or Category Scope
Campaigns can be scoped using either products or categories.

Products:

  1. All products

  2. Selected products

  3. Excluded products

Categories:

  1. All categories

  2. Selected categories

  3. Excluded categories

Notes
Only one scope type (products or categories) can be used per campaign.

Buyer Targeting

Campaigns can target:
  1. All buyers

  2. New buyers only

  3. Repeat buyers only

Order Filters

Optional filters allow campaigns to exclude:
  1. Returned orders

  2. Orders from selected fulfillment channels

  3. Discounted orders, including item-level or shipping discounts

These filters help reduce risk and prevent sending requests in scenarios that may negatively affect buyer experience.

Campaign Priority Logic

When multiple campaigns match the same order, priority rules determine which campaign is applied.

Alert
Only one email is sent per order. If multiple campaigns qualify, the campaign with the highest priority is selected.

Priority behavior:

  1. Higher priority campaigns override lower priority campaigns

  2. Priority values are limited based on the number of existing campaigns

  3. Campaigns not selected by priority are skipped for that order

This logic prevents duplicate emails and ensures consistent enforcement of marketplace communication rules.

How Feedback Automator Works (Conceptual Flow)

  1. A campaign is created with defined rules and settings

  2. Orders are continuously evaluated against campaign criteria

  3. Eligible orders are queued after the configured waiting period

  4. Emails are scheduled using the selected send time and timezone

  5. Priority rules resolve any overlap between campaigns

  6. Campaign-level email metrics are updated automatically

All steps are handled by the system without manual intervention.

Summary

Feedback Automator uses rule-based campaigns to automate product rating and seller feedback requests in a controlled and compliant manner. By continuously evaluating orders, enforcing campaign priority, and limiting outreach to one email per order, it enables sellers to scale feedback collection while maintaining accuracy, visibility, and marketplace compliance.
